Questions we get asked.
Straight answers from the people who build this and use it.
How does the 3-day free trial work?
Pick a plan, create an account, get full Pro-tier access for three days. On day four, subscribe to keep going, or do nothing and your account becomes read-only. Nothing is deleted.
Which plan should I pick?
Starter fits up to 3 properties. Pro fits up to 15, where most operators land. Past 15, tell us your portfolio shape and we will design a plan around it. Anything the software does not do yet is Professional Services.
Can I cancel, and what happens to my data?
Cancel anytime from Settings → Billing; you keep access through the end of the billing period. Your account then turns read-only instead of being wiped, and you can export any report to PDF or CSV before or after.
My accountant handles everything. Why do I need HostEarnings?
Even with a great accountant, someone still has to gather, categorize, and reconcile your payments, and accountants bill for that time. Arrive with clean books and you hand them a finished draft instead of a pile of CSVs. You also stay in control: pull a report for an investor today without asking first, share read-only report links at no extra cost, or give your accountant, team, and partners their own logins.
Why not a spreadsheet, QuickBooks, or Xero?
A spreadsheet holds up until month three, then it is a tab per property, formulas that break, and an owner asking what they earned last month. QuickBooks and Xero are built for landlords on annual leases and businesses that do not think in nights sold. HostEarnings keeps one clean ledger per property, sorts platform and PMS payouts automatically, and puts ADR, occupancy, and RevPAR next to a GAAP-shaped income statement your accountant will accept.
Do I need accounting experience to use this?
No. Upload your payouts and we suggest a category for each row, then remember your choices next time. You review the numbers instead of re-entering them.
What if my properties use different currencies?
That works. Set a currency per property, and your reports roll everything up into one reporting currency you can change whenever you need to.
Is it hard to switch or migrate my data?
For most operators it is straightforward. Export your payout CSV from each platform, upload it, and we sort the history into categories. For large portfolios or complex histories, a Professional Services engagement handles the migration for you so you never have to touch a spreadsheet.
What is the difference between the software and Professional Services?
The software is the product you subscribe to and run yourself: import payouts, reconcile, share reports. Professional Services is our team building something specific for you, on top of HostEarnings or on your own infrastructure. Plenty of customers use only the software, and some come to us for the build first.
What can Professional Services build?
Custom reports and dashboards, PMS and payment integrations, branded owner portals, automations, multi-property consolidation, and data migrations. Built on top of HostEarnings or on your own infrastructure, whichever fits your stack.
How does an engagement start?
Tell us the report, export, or sync costing you the most time, through the contact page. We scope that single fix, you judge the finished work, and anything bigger only gets discussed if you want it to.
What does a Professional Services engagement cost?
It depends on the work, so we quote per engagement rather than publishing a rate. The first fix is deliberately small, which keeps the first invoice small too.
Do I need a software subscription to use Professional Services?
No. Builds can run entirely on your own infrastructure. Plenty of customers pair them with the software, but it is not a requirement.
Who owns what you build for us?
You do. Work built on your infrastructure is yours to keep, whether or not we ever work together again.
We're trying to sign more owners. Does HostEarnings help with that?
Not directly. HostEarnings starts once an owner is on your books. For the prospecting side, our partner Free100Leads publishes a list of 100 B2B contacts every day, free and with no sign-up, which is a reasonable place to start an outreach list. Note that cold outreach rules follow your prospect's country rather than your own: GDPR in the EU and UK, CASL in Canada, CAN-SPAM in the United States.
Can I connect my own software or an AI assistant?
Yes, on every plan including the trial. Create a key in Settings and your own tools can read your reports and add transactions. You can also connect an AI assistant such as Claude, so you can ask questions in plain language and import a payout file by asking. There is a step by step guide on our API page.
Is that the same as the integrations under Professional Services?
No. The key is the door, and it is included. Professional Services is when you would rather we did the work: we connect your PMS, map your fields, move your history, and hand it over finished.
